Within your Andromeda POS, there has always been included a scheduling tool to build Rota's and use that Rota in a number of ways to help manage your store.
What this tool it has always lacked a way to forecast your coming sales and plan your staffing requirements to manage costs and improve customer service, this has now be resolved with the introduction of the Smart Rota.
Smart Rota will be a low cost subscription service that will truly change the way you schedule your team and meet the needs of your business and with the addition of Portal Reporting you can quickly get a grip on how effective your stores are running.
Smart Rota will be available on trial for a short period and you will have the option to subscribe or continue with the Classic Rota which will always be free.
Lets get started
Select the 'Try Smart Rota' from the Build Rota menu
The screen will then open on the Forecast screen for the coming week and the system will provide an average of your last 6 weeks sales and order types as a prediction for next week. This is a guide which the manager can review and make adjustments based on their knowledge of what might impact their sales.
Sales can be increase / decreased in the MGR column - highlighted in red below
The system will use your forecast along with historical data to calculate the expected number of collection and delivery orders per day, and per hour for each day.
You will also need to enter 3 parameters (highlighted in blue above) that are used to drive the schedule
- Driver Productivity - how many drops per hour can one driver do on average.
For instance , if you enter 3 as this value, the system will recommend 2 drivers, for an hour where you have 6 orders.
- Kitchen Productivity
How many “Hot products” can one kitchen person make, per hour.
This will drive the inshore staff schedule.
- Labour Uplift %
This is an average “add on” to the hourly rates, to allow for employer NI, holiday accrual etc. This will be used in the labour calculations within Smart Rota ( but currently, not elsewhere).
Once you have entered the above you can SAVE and then go to ROTA to start building each days Rota.
Rota Building
Select Each Day on the Daily View, it will then show you the expected orders, sales and projected staff needs for each hour.
You can add shifts, which will then show on a Bar schedule.
The system will highlight each hour, if you have more or less staff than recommended, and also show you your labour cost as a % of sales broken down by manager, kitchen and driver labour.
The Smart Rota product is being continually enhanced and we welcome any feedback or suggestions.
Remember: It is free until the end of March 2023 and then will be an optional additional subscription.
